Desired Skills/Duties: Desired Skills/Duties: Under general direction, provides administrative support, including data entry, for the youth program services department. Conducts outreach to prospective program participants, directly and through partner organizations. Interacts professionally and courteously with customers by phone, email and in-person to collect and convey information. QUALIFICATIONS: College degree preferred, or any equivalent combination of education, training and work experience which indicates possession of the knowledge, skills and abilities listed below. Good customer service and interpersonal skills, discretion, good judgment, accurate keyboarding, organizational skills and the ability to work independently are needed. A valid driver s license is also required. KNOWLEDGE OF: Office equipment use Agency policies and procedures* Federal, State, local laws and regulations*Government, faith-based and community-based Organizations* SKILLS AND ABILITIES TO: Maintain confidentiality and model professionalism. Develop and maintain effective working relationships with supervisors, co-workers and the public, acting with respect and consideration at all times. Follow oral and written direction with accuracy. Prioritize and coordinate multiple tasks simultaneously to meet deadlines. Maintain organized filing systems, Work with a diverse adolescent and young adult population with barriers to employment. ADMINISTRATIVE SUPPORT: Answer phone, respond to inquiries, direct calls and take messages. Initiate phone contact with current and prospective participants as directed. Collect, review and disseminate information to staff, vendors and agency partners. Navigate electronic data systems appropriately; enter information timely and accurately in compliance with program rules. Receive incoming documentation and route or file according to established procedures. Assist with scheduling and tracking participant and departmental activities. Document case notes in state and local systems. Maintain cooperative linkages between agency departments, adhering to standard operating procedures and processes that facilitate and compliment the work of those units. Develop a working knowledge of the client service systems utilized (the Workforce Innovation and Opportunity Act (WIOA) and Temporary Assistance to Needy Families (TANF)) from orientation through eligibility determination, assessment and enrollment. Provide back-up support for Framework activities as needed: conduct workshops, grade assignments, assist with service plan development. OUTREACH: Identify opportunities to increase public awareness of Youth programs. Track and report departmental outreach results. Maintain inventory and distribution record of outreach materials. Maintain current distribution lists to facilitate communications. MISCELLANEOUS: Maintain and increase knowledge and skills through attendance at meetings, conferences, seminars and training, as assigned. Participate in internal and interoffice meetings. Perform additional duties and assignments as required. Provides administrative support as part of the team working with youth and young adults, ages 14-24 years old with barriers to employment, to develop a plan of services and activities leading to employment. Must have excellent organizational skills, good interpersonal skills, and be computer literate, knowledge of Microsoft Office programs. Position will involve group presentations, outreach activities, and coordination with partnering agencies. Local travel involved. Knowledge of public workforce system and/or public assistance a plus.
